How to share a dashboard or report in Power BI?

Learn how to share a dashboard or report in Power BI. This week’s SharePoint & Office 365 Tips and Tricks shows how to check who has access to a dashboard or report you shared, and how to stop others from sharing the dashboard/report.   • Select Share in an open dashboard or report, or in a list of dashboards or reports.
  • For distribution groups, individuals and security groups, enter full email addresses in the top box.
  • Add a message if required.
  • Enable Allow recipients to share your dashboard/report in order to allow your coworkers to share your content with others. It is called resharing.
  • Click on Share.

How to check who has access to a dashboard or report you shared?

  • You can also see who else have access other than the ones you shared the dashboard or report with.
  • Select Share in an open dashboard or report, or in a list of dashboards or reports.
  • Click Access from the Share dashboard/report dialogue box.
  • People outside your organization with access to the report will be listed as guest.

How to stop others from sharing the dashboard/report?

  • The Resharing feature allows others through the Power BI service and mobile apps. They can also forward the email invitation to anyone within the organization.
  • Dashboard/report owners can turn on or off resharing.
  • To turn off resharing before sending a sharing invitation, just uncheck the Allow recipients to share your dashboard/report.
  • Find this option at the bottom part of the invitation dialogue box.

How to turn off re-sharing for a dashboard or report you have already shared?

  • Select Share from the list of dashboards and reports, or in the dashboard or report itself.
  • Click Access in the Share dashboard/report dialog box.
  • Click on the ellipsis placed near to Read and reshare.
  • Choose Read to allow the person to share the report or dashboard with others.
  • Choose Remove access to keep that person from seeing the shared content at all. Choose necessary options in the Remove access dialogue box to complete the process.
