How Do You Restore an Individual Deleted File in SharePoint Online?
Individual file restoration is done directly from the Recycle Bin on the site, without requiring admin rights.
- Navigate to the SharePoint site where the file was located.
- Select Recycle Bin in the left pane (under Site contents if it does not show up).
- Locate the file by sorting the files in Name, Deleted by, or Deleted Date order.
- Check the checkbox beside the file name.
- Click Restore. The file gets restored to its original location instantly.
If a file has already been removed from the first-level bin, then the file can be restored by the site collection administrator from the second-level bin within the 93-day period using Site Settings -> Recycle Bin -> Second-stage recycle bin.

Microsoft suggests not to depend only on the 93-day window for sensitive information. Microsoft 365 Backup, wherever it is available, or third-party solutions offer an alternative. The recycle bin windows serve as insurance, but they are not a replacement for understanding where your agreements are stored.
FAQs
For how many days do SharePoint store the deleted documents before permanently removing them?
The maximum is 93 days. Documents go through the initial stage recycle bin to a second stage one, remaining there until the window of 93 days passes. Then they disappear forever.
Can a regular SharePoint user restore their own deleted files?
Yes, everyone with Edit permissions or higher can recover their own deleted files from the Recycle Bin without requiring administrative privileges.
What if the file has been deleted from the Recycle Bin, is it gone forever?
That is not the case. The document is moved into the second-level bin, and a site collection administrator can still recover it during the rest of the 93-day timeframe.
Can SharePoint files be recovered after the 93-day Recycle Bin period?
It is impossible, once that period expires, the document will be irreversibly lost. In case you need extended recovery periods, see Microsoft 365 Backup or third-party software.
Do I need to be a Global admin to restore a deleted SharePoint site?
No, a specific SharePoint Administrator account is enough for restoring deleted sites from the Deleted sites section in the Admin Center.
What happens to site permissions and settings when a deleted site is restored?
The site will be recovered in its original condition in terms of settings, membership in groups, permissions, etc.
